Firm Books: Privacy Policy

Last updated October 12, 2026

Firm Books is operated by Ashford Sky CPA LLC for its own bookkeeping and, where engaged, its clients'. This policy describes what the application stores and why.

What we collect

From QuickBooks Online: chart of accounts, vendors, classes, and general-ledger detail for connected bank and credit card accounts. From connected financial institutions (through Plaid): account names, masks, balances and transactions. From Microsoft sign-in: your name and email address.

How it is used

Only to categorize transactions, match them to existing QuickBooks entries, and post reviewed transactions to the connected QuickBooks company. Transaction descriptions may be sent to Anthropic's Claude API to suggest a vendor and account; they are not used to train models. Data is never sold or shared for advertising.

Security

Access tokens for QuickBooks and Plaid are encrypted at rest (AES-256-GCM). The application is served over HTTPS and access requires an authorized Microsoft account. Actions such as posting to QuickBooks are logged with the user who performed them.

Retention and deletion

Data is kept while the connection is active and deleted on request. Disconnecting QuickBooks or a bank revokes further access.
